A #

Activity Log #

All past activities done on Board or Item, from status change or any update, deleting Items or assigning users.

Admin #

The user who created the Workspace, or a user who was promoted to Admin role by another Admin.

B #

Bell notifications (in-app notifications) #

Notifications that can be accessed in the sidebar on the left, clicking on bell icon below the Favorite Board(s) icon.

Board #

Plaky Board is a place where your team’s tasks, workflows and processes are visualized. It helps you stay organized and keep track of your work.

Board Activity log #

The history of activities done on Board, such as deleting Items, adding new Views, or assigning Team Members to the Board, etc.

Board Conflicts #

Issues on a Board level when transitioning to a lower/free plan related to unavailable features, requiring workflow adjustments.

Board filter #

Located at the upper section of all your Boards, the board Filter serves as a valuable tool for refining the displayed information. It enables you to focus precisely on the data you require at any moment, ensuring a clearer view of the information you need.

Board Member #

Board members are all users (Admins, Members and Viewers) that have been added to a Board.

Board menu #

The Board menu can be found at the top-right side of your Board. It lets you carry out a range of tasks like modifying Board permissions, adjusting the Board settings, configuring Items, etc.

Board Owner #

Board Owner is a user who created the Board or was granted ownership by another Owner.

Board Permissions #

Board permissions in Plaky allow Board Owners to control the level of access and editing rights granted to individuals or user groups on a specific Board.

Board Template #

Pre-designed and pre-configured layout that serves as a starting point for creating new boards. Board templates come with predefined structures, columns, and settings tailored for specific use cases or project types. There are predefined templates available at Plaky, but any Board created from scratch can be turned into template too.

Board Views #

Board Views provide the flexibility to represent information on a Board through diverse project management perspectives. Two primary views are Table and Kanban views.

Bulk actions #

Bulk actions in Plaky refer to performing a single action that affects multiple Items simultaneously. Instead of individually addressing each Item, select a few Items and apply a specific action to all of them at once. It is possible to bulk edit the Field values, bulk move to Group, bulk duplicate, or bulk delete Items.

Conflicts #

Conflicts arise when an Oganization downgrades to a free or lower-level subscription plan, encountering feature discrepancies compared to their previous paid or higher-tier plan. Admins need to resolve them by adjusting workflows to align with the available features.

Custom field (Item field) #

Custom fields constitute the core structure of a Board, forming its fundamental framework. There are different types of Fields that help you define the content on the Board: Text, Rich Text, Link, Numbers, Status, Tag, Date, Timeline and Person.

Custom SSO #

Custom Single Sign-On enhances security at scale by eliminating the need for user passwords. It enables centralized access control and efficient management of login credentials by using your company’s IdP.

D #

Date field #

Date field allows you to set due date for your tasks, or any sort of a deadline.

Default Team #

All the Workspace members are automatically added to a default Team named Everyone, and cannot be removed from that team.

Default View #

Every Board must include a minimum of one View. Upon the creation of a Board, a Table view is automatically generated and designated as the main (default) view. Users have the flexibility to add and choose any other view as the default instead.

Delete (Board, Group, Item, View, Space) #

Deleting is an option of permanent removal of a Board, Group, Item, View, Space, or a Workspace. There is not an option to revert this action.

E #

Email notifications #

Alerts sent via email when you’re invited to Boards/Items/Teams, assigned to Items, mentioned in comments, or when updates occur on owned/subscribed Items. They also include notifications about invitation outcomes.

Email verification #

A security procedure during the sign-up process where users are required to confirm the validity of their provided email address. A verification link is sent to the provided email, and upon clicking the link, the user’s email address is confirmed as genuine and active.

Export Board #

You can download a Board content in CSV format.

Favorite Board #

A feature that allows marking specific boards as your favorites for quick and easy access.

Favorite Board Views #

A Favorite view in Plaky refers to a specialized View configuration that users can mark for themselves as their preferred option for a particular Board. This view is easily accessible, positioned alongside the default view, and is denoted by a star icon next to its name.

Field visibility #

Users can choose which fields on the Board are visible and which ones are hidden based on their preferences and the context of their work. However, all the fields remain visible on the Item card. These settings apply individually to each Board view.

Folder #

Folders allow you to separate Boards according to the criteria of your choice (e.g. Marketing, Sales, Development… etc.).

General settings #

Configuration options that allow Admins to adjust fundamental preferences and details related to their Workspace’s setup. This includes the ability to modify the Workspace name and subdomain, enabling Admins to personalize and align the platform with their Workspace’s identity.

H #

Home page #

Home Page is the initial screen that appears when you register and log in to Plaky web application. From Homepage you can access Recently updated Items, Recent Boards, Recent Spaces, Help Center, Knowledge Hub, Template center, Blog, and send invitations to new users.

I #

Invite (Member, Viewer) #

Through this feature, users can send invitations to one or more designated individuals’ email addresses, inviting them to become Members or Viewers in the Workspace.

Item #

Each Board in Plaky contains entities called Items. Item can be a notion, unit or any other building part of your project that makes sense to you. Each created Item has the following components: Item Card, Comments, Activities, and Files.

Item activity log #

A history of activity on a particular Item that can be seen in the Activities tab of each Item. It contains the following info: time of change, author of the change, the type of change that was made, name of the Board where the change was made, previous value and new value. If the item group was changed, there will be the info about the new group, or if the custom field was changed, there will be info about the new value and the previous value.

Item configuration #

Item configuration represents customizing and arranging the custom fields, properties of individual Items or even Item terminology within a Board. Within Configure Item option it is possible to execute the following actions: Set Item template, Change Item terminology and reorder Item details.

Item fields reorder #

This means changing the order of custom fields on an Item, and is applied to all the Items on that Board in the Item card details.

Item group #

All Items in Boards are grouped in sections called Item Groups. These Groups are color-coded and help you organize and visually divide the Items into different sections.

Item menu #

It refers to a contextual menu that provides a range of actions and functionalities associated with an individual Item within a Board, located at the left side of each Item.

Item templates #

Item template is a predefined structure that serves as a blueprint for creating new Items within a board. It can include a set of predetermined Fields, Title, Item group and Item subscribers.

Item terminology #

Item terminology refers to the specific word or phrase you use to refer to an Item on a Board, aligning with your preferred naming conventions.

Kanban View #

A visual representation that organizes Items and the entire Board into columns that represent different stages of work, according to Kanban project management principles.

L #

Last seen #

Last seen is the list of users who last visited a Board in chronological order.

Link Field allows linking any website to the Item. This way, you can customize each Item with the specific web address and the text that will be displayed in the Field.

M #

Main Table #

Main table is a typical Table view that is automatically created upon Board creation and represents the default view.

Main Space #

A default Space created automatically once an Workspace is created. All Workspace members are members of this Space. It cannot be deleted and its members cannot unsubscribe from it.

Member #

Member is a user type in Plaky. Members have the authority to perform various actions, including creating and editing Boards, inviting others to private Boards they are part of, creating and editing Items, Folders, and inviting other users to Boards or Items.

My profile #

A page in the app where users can access and adjust their personal info and notification preferences.

N #

Numbers Field #

You can use this Field to enter number related to any aspect of the project you’re tracking such as the number of hours spent working on a project, number of Items, Team Members working on project/task, budget and finance related info, etc.

O #

P #

Paid plan is a paid subscription to Plaky that allows access to additional features beyond what is available in a free version of Plaky. There are 2 types of paid plans – Pro and Enterprise.

Person Field #

Person Field allows you to assign tasks to your Team Members, or check who in your team is responsible for which task.

Private Board #

It is a Board that is visible to that Board members only.

Public Board #

Public Board is a Board that is visible to anyone in the Space.

Rich text #

With Rich Text format, users can add text files and transfer them in different text editors, between different processors and operating systems.

S #

Seat #

A seat in Plaky is a paid subscription required for each user (except for Viewers) in a paid plan Workspace.

Sort #

A functionality that allows users to arrange or order the Items or Fields within a Board based on specific criteria or preferences. By using the Sort feature, users can better organize their Boards and gain a clearer overview of all the Items present.

Space #

Spaces are expansive, organizational containers designed to classify the content within a Workspace. Spaces prove effective in arranging data based on various teams, projects, or any other classifications essential to any team’s workflow.

Space conflicts #

Issues on the Space level when a Workspace is downgrading their subscription. Closed Spaces are available on paid plans only.

Status field #

It is a Field through which you can visually present the state of your tasks, or follow the progress of tasks of other Team members.

Subitem #

Subitems refer to tasks or elements that are nested under a primary Item a Board. They are used to break down larger tasks into smaller, more manageable components, allowing for detailed tracking and organization. Each subitem inherits the custom fields from its parent Item.

Subscribers #

Users that are assigned to receive notifications and updates related to a specific Board, or Item, but not assigned to a specific task.

Summary #

A specific row within an Item group that displays summarized information or calculations based on the data present in the associated Fields.

T #

Table View #

A visual representation that organizes data on the Board in a tabular structure, resembling a spreadsheet or table. In this view, information is organized into rows and columns, making it easier to view, edit, and manage data, Item groups, or items.

Tag #

A field that allows users to list multiple words that will appear as a label. You can use them to define the keywords for each Item, so that you can recognize it more easily in the Board.

Team #

A group of Plaky users that are working together to achieve shared goal. It can be a department, project team, functional department, or any other kind of team you’d like it to be. People in created Teams can communicate with their teammates, be notified, or updated about certain actions.

Text Field #

This type of Field allows you to add any type of text (e.g. details, description, short explanation, etc).

Theme #

Users can select their preferred theme in Plaky (auto, dark, light) based on their personal preferences and working conditions, allowing for a more comfortable and visually appealing experience while using the app.

Timeline field #

The Timeline field is a feature for project period management. With this field, it is easy to input and track time periods using two date pickers.

Trial #

Plaky Free trial provides unrestricted access to premium features available on our paid plans during a 14-day period.

U #

Upgrade #

The action of switching from a lower-tier or free plan to a higher-tier or paid plan. Upgrade can involve moving from a free plan to a paid plan, or from one paid plan level (Pro) to a more advanced and feature-rich plan (Enterprise).

User #

User is any person registered at Plaky, regardless of their role (Member, Admin, Viewer).

User management #

The set of administrative actions available to the Workspace admins for controlling and overseeing user accounts within the Workspace.

User type conflicts #

Situations to be resolved when a Workspace is downgrading from a trial or a paid plan to a free plan where Viewer user type is not supported. Those conflicts can be resolved if Admins change the user role of active and pending Viewers.

Viewer #

Viewers are users that can read all the content available in the Workspace they’re invited to, but cannot modify or change any configuration and don’t have any editing permissions.
