Create and Manage Subitems

This feature is available on all plans.

Projects and tasks on Plaky Boards are shown as Items. Every Item can have Subitems, which can help users break down complex projects and tasks into smaller parts. With this feature, project management becomes easier and more organized on your Board.

Create Subitems #

You can create Subitems on the Table and Kanban views. 

Here’s how you can create an Item on the Table view:

  1. Click on New Item/Subitem
  2. Under Item/subitem, select Subitem
  3. Select Parent Item
  4. Fill out the information
  5. Click Save to complete the action

Or

  1. Click on + Add Subitem
  2. Enter the Subitem name

Or

  1. Open an Item
  2. Click on the three dots on the right
  3. Click on Add subitem
  4. Enter Subitem name
  1. Tap on the subitems icon next to comments
  2. Tap on + Add subitem
  3. Enter Subitem name
  4. Tap Add to complete the action

Or

  1. Tap on the + icon in the top right corner
  2. Select New subitem (advanced)
  3. Choose parent Item
  4. Fill out the remaining information
  1. Tap on the three dots next to an Item
  2. Tap on Add subitem
  3. Enter Subitem name
  4. Tap Add to complete the action

Or

  1. Tap on the Subitems icon
  2. Tap on Add subitem
  3. Enter Subitem name
  4. Tap Add to complete the action

A Subitem will be added to that specific Item, designating that Item as the parent of the Subitem. Subitems inherit their parent’s field structure and will look and behave like the Items in many ways: field structure, activity log, comments, and files tab.

The number of Subitems of each Item is displayed on the Item. To expand and collapse all the Subitems, click on the arrow next to the number of Subitems on the Item.

Here’s how you can create a Subitem on the Kanban view:

  1. Click on New Item/Subitem
  2. Under Item/subitem, select Subitem
  3. Select Parent Item
  4. Fill out the information
  5. Click Save to complete the action

Or

  1. Click on the Subitems dropdown
  2. Click on + Add subitem
  3. Enter Subitem name
  1. Tap on the subitems icon
  2. Tap on + Add subitem
  3. Enter Subitem name
  1. Tap on the subitems icon
  2. Tap on + Add subitem
  3. Enter Subitem name

You can create Subitems only at one level, which means that Items can have multiple Subitems, but Subitems can’t have additional Subitems.

Change parent Item #

You can reassign a Subitem to a different parent Item if needed, allowing for flexible task management and organization. 

Here’s how to do this:

  1. Click on the three dots next to a Subitem
  2. Select Change parent item
  3. Select parent Item
  4. Click Change to complete the action
  1. Tap on the three dots next to a Subitem
  2. Select Change parent item
  3. Select the Item to complete the action
  1. Tap on the three dots next to a Subitem
  2. Select Change parent item
  3. Select the Item 
  4. Tap Change to complete the action

Convert Subitems to Items #

You can convert Subitems to Items, allowing them to function independently within your project.

Here’s how to do this:

  1. Click on the three dots next to a Subitem
  2. Select Convert to item
  1. Tap on the three dots next to a Subitem
  2. Select Convert to item
  1. Tap the three dots next to the Subitem
  2. Select  Convert to Item
  3. Tap Convert to complete the action

Copy Subitem URL #

Links to subitems in Plaky can be copied and pasted in any chat application that you use to correspond and collaborate with your colleagues. This way, Plaky users can access the specific subitem and be aware of any development related to it.

Here’s how you can copy a Subitem URL:

  1. Click on the three dots next to a Subitem
  2. Select Copy subitem URL
  1. Open a Subitem
  2. Tap on the share icon
  3. Select Copy
  1. Tap on the three dots next to a Subitem
  2. Select Copy subitem URL

Your subitem will be copied to a clipboard ready to be pasted in any chat app you’d like.

Duplicate Subitem #

Duplicating subitems allows you to create new subitems based on existing ones quickly.

Here’s how to duplicate a Subitem:

  1. Click on the three dots next to a Subitem
  2. Hover over Duplicate subitem
  3. Select Duplicate with comments or Duplicate without comments
  1. Tap on the three dots next to a Subitem
  2. Select Duplicate subitem
  3. Choose between Duplicate without comments or Duplicate with comments
  1. Tap on the three dots next to a Subitem
  2. Select Duplicate subitem
  3. Choose between Duplicate with comments or Duplicate without comments

The duplicated subitem will have the same parent Item.

Pin Subitem #

You can pin an important Subitem in the sidebar panel for quick access while keeping the main interface clutter-free. When you pin a Subitem, you can quickly toggle between Space, Board, and the Home page without navigating away from the Subitem.

Here’s how you can pin a Subitem.

  1. Open a Subitem
  2. Click on the three dots
  3. Click on Pin subitem

Focus Subitem #

You can quickly navigate back to a specific Subitem by using the focus option. If you scroll away from a Subitem, the focus option will get you back to the location of that Subitem on your Board.

Here’s how you can focus a Subitem:

  1. Open a Subitem
  2. Click on the three dots on the right
  3. Select Focus subitem

Reorder Subitem fields #

Customize your Board even more by arranging the order of fields on Subitems to suit your preferences. This change is visible to all users. 

Here’s how you can do this:

  1. Open a Subitem
  2. Click on the three dots on the right
  3. Select Reorder item fields
  4. Reorder fields
  5. Click Save to complete the action
  1. Press and hold on a Subitem
  2. Drag and drop the Subitems to reorder them

Delete Subitems #

To delete a Subitem:

  1. Click on the three dots next to a Subitem
  2. Select Delete subitem
  3. Click Delete to confirm the action
  1. Tap on the three dots next to a Subitem
  2. Select Delete
  1. Tap on the three dots next to a Subitem
  2. Select Delete
  3. Tap on Delete to confirm the action

The same permissions that apply to an Item apply on the subitem level as well.
