I start with creating a project scope. Then I need to allocate resources for the scope and identify potential risks. Next, I gather requirements from stakeholders, identify key performance identifiers (KPIs), etc.\u201d<\/em><\/p>\n<\/div>\n<\/div>\n\n\n\n<p class=\"translation-block\">A crucial part of creating a WBS is identifying <a href=\"https:\/\/plaky.com\/learn\/project-management\/dependencies-in-project-management\/\" target=\"_blank\" rel=\"noreferrer noopener\">task dependencies<\/a> \u2014 the tasks that must be completed for another to move forward.&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\">You can later divide dependencies into sub-dependencies, or more accurately, tasks into subtasks. Usually, it is in the form of a bar graph, with the Y axis being dedicated to tasks, and the X axis representing the timeline.<\/p>\n\n\n\n<p class=\"translation-block\">It can be used to represent task deadlines, sequences, and dependencies in a clear, visual manner. Creating a solid project schedule is essential to your project, which is where PERT comes into play.<\/p>\n\n\n\n<p class=\"translation-block\">The most common way to implement PERT is the three-point estimate \u2014 where you calculate a project\u2019s expected duration and its standard deviation.<\/p>\n\n\n\n<p class=\"translation-block\">To do so, you use the following 3 points:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>a \u2014 the optimistic value<\/strong> \u2014 the minimum effort estimated to complete the activity. It should be noted that the probability of this value being true should be higher than 1%.<\/li>\n\n\n\n<li class=\"translation-block\"><strong>m \u2014 the most likely value <\/strong>\u2014 the most probable effort that the most qualified person would estimate. You should consult the most qualified member of your team for that activity to determine this value.<\/li>\n\n\n\n<li class=\"translation-block\"><strong>b \u2014 the pessimistic value <\/strong>\u2014 the opposite of the maximum effort estimated to complete the activity. Again, the probability of this value being true shouldn\u2019t exceed 1%.<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">Now that you\u2019ve determined these 3 points, you can calculate the expected duration (<strong>E<\/strong>) and standard deviation (<strong>SD<\/strong>) of an activity:<\/p>\n\n\n\n<p class=\"has-text-align-center has-background translation-block\" style=\"background-color:#e5f6fe\"><strong>E = (a + 4m + b)\/6&nbsp;<\/strong><\/p>\n\n\n\n<p class=\"has-text-align-center has-background translation-block\" style=\"background-color:#e5f6fe\"><strong>SD = (b \u2013 a)\/6<\/strong><\/p>\n\n\n\n<p class=\"translation-block\">This technique is used to improve the certainty of project estimates, not to forecast or change conditions in a project.<\/p>\n\n\n\n<p class=\"translation-block\">For example, let\u2019s say you\u2019ve assumed you\u2019ll need 3 months to create a simple app. In a miracle case \u2014 the 1% chance one \u2014 your team could finish the app in 2 months. But, in the absolute worst-case scenario, it can even take 6. Now, with those numbers, we can calculate E and SD:<\/p>\n\n\n\n<p class=\"has-text-align-center has-background translation-block\" style=\"background-color:#e5f6fe\">E = (2 + 4 x 3 + 6)\/6 = 3.333<\/p>\n\n\n\n<p class=\"has-text-align-center has-background translation-block\" style=\"background-color:#e5f6fe\">SD = (6 &#8211; 2)\/6 = 0.667<\/p>\n\n\n\n<p class=\"translation-block\">Now we see that a more realistic estimate of the time it\u2019d take would be 3.3 months, with a deviation of 0.7 months.<\/p>\n\n\n\n<h3 id=\"7-stakeholder-importance-influence-matrix\" class=\"wp-block-heading translation-block\">#7 Stakeholder Importance-Influence Matrix<\/h3>\n\n\n\n<p class=\"translation-block\">All stakeholders can affect your project, but keeping track of everyone can be difficult. So, this 5-step technique helps you determine how to manage your stakeholder relations:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Make a list of all your stakeholders,<\/li>\n\n\n\n<li class=\"translation-block\">Assess the importance of each stakeholder,<\/li>\n\n\n\n<li class=\"translation-block\">Assess the influence of each stakeholder,<\/li>\n\n\n\n<li class=\"translation-block\">Place them in the importance-influence matrix, and<\/li>\n\n\n\n<li class=\"translation-block\">Determine how to handle each one in relation to their position.<\/li>\n<\/ol>\n\n\n\n<p class=\"translation-block\">This stakeholder matrix should consist of 4 cells. When viewing the stakeholders in each cell, you should refer to them by these categories:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">High importance, high influence \u2014 <strong>good relation<\/strong> \u2014 work closely with these stakeholders. Use more frequent communication, updates, or even meetings to keep them involved in the project.<\/li>\n\n\n\n<li class=\"translation-block\">High importance, low influence \u2014 <strong>protect <\/strong>\u2014 these stakeholders don\u2019t have enough influence to protect their interest in the project. Since they&#8217;re of high importance, you need to be the one who protects their interests.<\/li>\n\n\n\n<li class=\"translation-block\">Low importance, high influence \u2014 <strong>monitor<\/strong> \u2014 these stakeholders aren\u2019t as important, but don\u2019t let that deceive you \u2014 their high influence means you want them happy with the project. At worst, they can become a blocking factor.<\/li>\n\n\n\n<li class=\"translation-block\">Low importance, low influence \u2014 <strong>low priority<\/strong> \u2014 you don\u2019t need to devote much time or energy to these stakeholders. First, you need to create a <a href=\"https:\/\/plaky.com\/blog\/project-task-list\/\" target=\"_blank\" rel=\"noreferrer noopener\">project task list<\/a> \u2014 to determine all tasks that need to be completed, using the WBS. You should draw a node for each task, outlining at first the name and duration of each task.<\/p>\n\n\n\n<p class=\"translation-block\">After that, you can connect those nodes to show task dependencies. For example, to complete a marketing post, you\u2019ll need to determine the idea, then design it, think of an engaging caption, etc.<\/p>\n\n\n\n<p class=\"translation-block\">Then, you can calculate a forward pass \u2014 the total time needed to complete the project. Finally, you need to determine the backward pass \u2014 the amount of extra time you have to complete the set tasks.<\/p>\n\n\n\n<h3 id=\"9-pestel-analysis\" class=\"wp-block-heading translation-block\">#9 PESTEL analysis<\/h3>\n\n\n\n<p class=\"translation-block\">The PESTEL analysis is used to determine how the <a href=\"https:\/\/plaky.com\/blog\/project-environment\/\" target=\"_blank\" rel=\"noreferrer noopener\">project environment<\/a> interacts with and influences your project goals and objectives.<\/p>\n\n\n\n<p class=\"translation-block\">It looks at specifically external environment factors and places them into 6 categories:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>Political <\/strong>\u2014 the policies and taxes that influence your project. For example, an increase in tax rate on freelance payments can increase your costs.<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Economic <\/strong>\u2014 how your chosen market influences your project. The demand, inflation rates, interest rates, etc.<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Social<\/strong> \u2014 the social culture, attitudes, lifestyle, or age distribution of a population can influence your project. For example, it\u2019s difficult to market a technology-centered project to the older population.<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Technological<\/strong> \u2014 the advancements and limitations of current technology. After determining each task that you need to perform, you can start dividing them by quadrants, and using that to decide how to best create a to-do list for them:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>Do now<\/strong> \u2014 these are the urgent and important tasks that you need to achieve. They need to be at the top of your list, and you should get to them as soon as you can \u2014 they are crucial to your project.<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Schedule for later <\/strong>\u2014 these tasks are important, but not urgent. Reschedule them for an appropriate time, to avoid overbearing your workload.&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Delegate<\/strong> \u2014 these are urgent, but not important. Find an appropriate team member to delegate these to, as they still need to be completed as soon as possible.<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Do not do <\/strong>\u2014 the non-important, non-urgent tasks are a distraction in your project.
