It was also applicable to both non-IT and small-size projects, and it was called PRINCE2.<\/p>\n\n\n\n<p class=\"translation-block\">Today, PRINCE2 and PRINCE2 Agile are registered trademarks of AXELOS.<\/p>\n\n\n\n<p class=\"translation-block\">As explained in one of the official PRINCE2 manuals, <a href=\"https:\/\/www.goodreads.com\/en\/book\/show\/35446005\" target=\"_blank\" rel=\"noreferrer noopener\"><em>Managing Successful Projects with PRINCE2 (2017 Edition)<\/em><\/a><em>,<\/em> PRINCE2 is an integrated method of principles, themes, and processes that addresses the planning, delegation, monitoring, and control of all 6 aspects of project performance, including:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">Cost,&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\">Time,<\/li>\n\n\n\n<li class=\"translation-block\">Quality,&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\">Scope,&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\">Benefits, and<\/li>\n\n\n\n<li class=\"translation-block\">Risk.<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">The manual also highlights that in order to keep control over the project, there should be a <a href=\"https:\/\/plaky.com\/learn\/project-management\/what-project-managers-do\/\">project manager<\/a> who plans out the entire project using PRINCE2, so as <em>\u201cto make the right information available at the right time for the right people to make the right decisions about the project.\u201d<\/em><\/p>\n\n\n<div to any type of project,<\/li>\n\n\n\n<li class=\"translation-block\">Easily integrates with industry-specific models,&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\">Saves valuable senior management time with its <em>manage by exception<\/em> principle,<\/li>\n\n\n\n<li class=\"translation-block\">Makes sure that the project remains viable throughout the project life cycle, and<\/li>\n\n\n\n<li class=\"translation-block\">Clearly specifies roles and responsibilities in a project so everyone knows what\u2019s expected of them.<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">Furthermore, AXELOS\u2019s <em>Effective Project Management whitepaper<\/em> outlines that PRINCE2 benefits individuals by:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">Providing step-by-step guidance regarding team structure, project planning, and project stages, and&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\">Providing an easy way PRINCE2 offers guardrails where a comprehensive plan is broken down into smaller work packages.\u201d<\/em><\/p>\n<\/div>\n<\/div>\n\n\n\n<h2 id=\"prince2-roles-and-responsibilities\" class=\"wp-block-heading translation-block\">PRINCE2 roles and responsibilities<\/h2>\n\n\n\n<p class=\"translation-block\">As we\u2019ve already mentioned, with PRINCE2\u2019s clear organizational structure, there\u2019s no confusion about who\u2019s doing what at any time during the project.<\/p>\n\n\n\n<p class=\"translation-block\">Now, let\u2019s take a closer look at each of the PRINCE2 roles and responsibilities.&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\"><strong>Corporate, program management, or the customer <\/strong>appoints the executive and possibly the project manager. This body is responsible for:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">The provision of a project <em>mandate<\/em> (i.e. the trigger for the project),<\/li>\n\n\n\n<li class=\"translation-block\">Governing the project, and&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\">Realizing any benefits that the project might deliver.<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">The <strong>project board<\/strong> is responsible for the project\u2019s success and serves as a communication channel between the project team and external stakeholders. The project board is made up of:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>The executive<\/strong> \u2014 who is responsible for making ultimate decisions, and the development of a business case,<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Senior user(s)<\/strong> \u2014<strong> <\/strong>who<strong> <\/strong>supports the executive by providing user resources, and<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Senior supplier(s)<\/strong> \u2014 who supports the executive by providing supplier resources.<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\"><strong>Project assurance<\/strong> covers the primary stakeholder interests (business, user, and supplier). The role must be independent of the project manager.<\/p>\n\n\n\n<p class=\"translation-block\"><strong>Change authority<\/strong> is an optional role and is responsible for reviewing and approving or rejecting all change requests.<\/p>\n\n\n\n<p class=\"translation-block\"><strong>The project manager<\/strong> takes direction from the project board and the executive. They have the authority to run the project on a day-to-day basis and ensure that the project produces the desired results within the specified tolerances.<\/p>\n\n\n\n<p class=\"translation-block\"><strong>The team manager<\/strong> manages project team members and reports to the project manager.<\/p>\n\n\n\n<p class=\"translation-block\"><strong>Project support<\/strong> \u2014 sometimes referred to as the <a href=\"https:\/\/plaky.com\/learn\/project-management\/project-management-office\/\" target=\"_blank\" rel=\"noreferrer noopener\">project management office (PMO)<\/a> \u2014 serves as administrative support to the project team, e.g. in helping with project management software, guidance, and administrative services. Its formal implementation is optional, depending on the project size and environment.&nbsp;<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"1200\" height=\"680\" src=\"https:\/\/plaky.com\/learn\/wp-content\/uploads\/2023\/05\/Roles-and-responsibilities-in-PRINCE2-1.png\" alt=\"Roles and responsibilities in PRINCE2\" class=\"wp-image-10146\" srcset=\"https:\/\/plaky.com\/learn\/wp-content\/uploads\/2023\/05\/Roles-and-responsibilities-in-PRINCE2-1.png 1200w, https:\/\/plaky.com\/learn\/wp-content\/uploads\/2023\/05\/Roles-and-responsibilities-in-PRINCE2-1-300x170.png 300w, https:\/\/plaky.com\/learn\/wp-content\/uploads\/2023\/05\/Roles-and-responsibilities-in-PRINCE2-1-1024x580.png 1024w, https:\/\/plaky.com\/learn\/wp-content\/uploads\/2023\/05\/Roles-and-responsibilities-in-PRINCE2-1-768x435.png 768w, https:\/\/plaky.com\/learn\/wp-content\/uploads\/2023\/05\/Roles-and-responsibilities-in-PRINCE2-1-18x10.png 18w\" sizes=\"auto, (max-width: 1200px) 100vw, 1200px\" \/><figcaption class=\"wp-element-caption\">Roles and responsibilities in PRINCE2<\/figcaption><\/figure>\n<\/div>\n\n\n<h2 id=\"7-prince2-principles\" class=\"wp-block-heading translation-block\">7 PRINCE2 principles<\/h2>\n\n\n\n<p class=\"translation-block\">The PRINCE2 methodology is built on several universal principles that help PRINCE2 practitioners shape the project they\u2019re managing.&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\">Here are the 7 PRINCE2 project management principles as listed in <em>Managing Successful Projects with PRINCE2<\/em>:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">Continued business justification,<\/li>\n\n\n\n<li class=\"translation-block\">Learn from experience,<\/li>\n\n\n\n<li class=\"translation-block\">Defined roles and responsibilities,<\/li>\n\n\n\n<li class=\"translation-block\">Manage by stages,<\/li>\n\n\n\n<li class=\"translation-block\">Manage by exception,<\/li>\n\n\n\n<li class=\"translation-block\">Focus on products, and<\/li>\n\n\n\n<li class=\"translation-block\">Tailor to suit the project.<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">Let\u2019s take a closer look at each of these principles.<\/p>\n\n\n\n<h3 id=\"principle-1-continued-business-justification\" class=\"wp-block-heading translation-block\">Principle #1: Continued business justification<\/h3>\n\n\n\n<p class=\"translation-block\">In PRINCE2, the first principle outlines there needs to be a justified reason for starting a project in the first place.&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\">Also, the justification in some form of a business case needs to be recorded and approved. That justification should be reviewed repeatedly throughout the project.<\/p>\n\n\n\n<h3 id=\"principle-2-learn-from-experience\" class=\"wp-block-heading translation-block\">Principle #2: Learn from experience<\/h3>\n\n\n\n<p class=\"translation-block\">According to <em>Managing Successful Projects with PRINCE2<\/em>, learning should be a continuous process that happens in 3 phases:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">At the beginning of the project \u2014&nbsp;by applying lessons from previous projects,<\/li>\n\n\n\n<li class=\"translation-block\">During the project \u2014 by including lessons in relevant reports and reviews, and<\/li>\n\n\n\n<li class=\"translation-block\">After the project closes \u2014 by passing on lessons for future projects.<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">Keep in mind that the <a href=\"https:\/\/plaky.com\/blog\/lessons-learned-in-project-management\/\" target=\"_blank\" rel=\"noreferrer noopener\">lessons learned<\/a> are the ones that drive change, otherwise, they remain merely the lessons identified.<\/p>\n\n\n\n<h3 id=\"principle-3-defined-roles-and-responsibilities\" class=\"wp-block-heading translation-block\">Principle #3: Defined roles and responsibilities<\/h3>\n\n\n\n<p class=\"translation-block\">A clear project management team structure is one of the prerequisites for project success.&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\">This implies that all people involved in the project have defined roles and responsibilities and that there\u2019s an effective communication flow among them.<\/p>\n\n\n\n<p class=\"translation-block\">Further, all stakeholder interests need to have a representation within the project management team, which includes the 3 primary stakeholders:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">Business sponsors \u2014 those who make sure there\u2019s a justified business need,<\/li>\n\n\n\n<li class=\"translation-block\">Users \u2014 those who will use the project\u2019s output, and<\/li>\n\n\n\n<li class=\"translation-block\">Suppliers \u2014 those who provide the necessary <a href=\"https:\/\/plaky.com\/learn\/project-management\/project-resources\/\" target=\"_blank\" rel=\"noreferrer noopener\">project resources<\/a> to produce the project\u2019s product.&nbsp;<\/li>\n<\/ul>\n\n\n\n<h3 id=\"principle-4-manage-by-stages\" class=\"wp-block-heading translation-block\">Principle #4: Manage by stages<\/h3>\n\n\n\n<p class=\"translation-block\">PRINCE2 projects are broken down into project sections called management stages.&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\">The number of stages depends on the project&#8217;s complexity, but all projects must have at least 2 stages, including:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">An initiation stage, and<\/li>\n\n\n\n<li class=\"translation-block\">At least one further management stage.<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">Managing by stages allows better control over the project\u2019s progress.<\/p>\n\n\n\n<h3 id=\"principle-5-manage-by-exception\" class=\"wp-block-heading translation-block\">Principle #5: Manage by exception<\/h3>\n\n\n\n<p class=\"translation-block\">To understand this principle, we\u2019ll first need to clarify the term <em>exception<\/em> in PRINCE2.&nbsp;&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\">An exception is a situation that goes beyond the tolerance levels that the project manager and the project board have previously agreed upon, in terms of:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">Cost,<\/li>\n\n\n\n<li class=\"translation-block\">Time,&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\">Quality,<\/li>\n\n\n\n<li class=\"translation-block\">Scope,&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\">Benefits, and<\/li>\n\n\n\n<li class=\"translation-block\">Risk.<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">So, if there\u2019s no deviation from the previously agreed-upon tolerance levels, the project manager won\u2019t need to notify the project board.&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\">In cases of exceptions, one management level must immediately notify the next management level.&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\">This practice helps establish clear management authorities and boundaries and prevents burdening senior management with lesser issues that would needlessly take up their time.<\/p>\n\n\n\n<h3 id=\"principle-6-focus-on-products\" class=\"wp-block-heading translation-block\">Principle #6: Focus on products<\/h3>\n\n\n\n<p class=\"translation-block\">In PRINCE2, project outputs, or <a href=\"https:\/\/plaky.com\/learn\/project-management\/deliverable-in-project-management\/\" target=\"_blank\" rel=\"noreferrer noopener\">deliverables<\/a>, are referred to as <em>products<\/em>, and the focus should be on the quality requirement of these products.&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\">The focus on product principle has the following purposes:<\/p>\n\n\n\n<ul A manager with exposure to both Lean Six Sigma and PMP will quickly recognize that the PMP structure works well for capital-intensive commercial construction projects. This requires a unique global project management office to manage the rollout of such programs.<\/em><\/p>\n\n\n\n<p class=\"translation-block\"><em>These programs are staggered across many years and across many geographies to reach many factories which manufacture many types of medicines. PRINCE2 is extremely well suited to project manage the rollout of such programs because of its work package and stage gate philosophies which enables it to deliver a unique set of outcomes for every factory with agility.\u201d<\/em><\/p>\n<\/div>\n<\/div>\n\n\n\n<h2 id=\"prince2-example-the-university-of-western-australia-library-case-study\" class=\"wp-block-heading translation-block\">PRINCE2 example \u2014 The University of Western Australia Library case study<\/h2>\n\n\n\n<p class=\"translation-block\">As outlined in a case study regarding project management and cultural change, inadequate management of the majority of the Library\u2019s projects resulted in <a href=\"https:\/\/plaky.com\/blog\/reasons-for-project-failure\/\" target=\"_blank\" rel=\"noreferrer noopener\">poor project performance<\/a> back in 2005.&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\">It was mainly due to factors, such as:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">Poorly defined <a href=\"https:\/\/plaky.com\/learn\/project-management\/scope-in-project-management\/\" target=\"_blank\" rel=\"noreferrer noopener\">project scope<\/a>,&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\">Lack of clear direction,<\/li>\n\n\n\n<li class=\"translation-block\">Running out of resources while the implementation was due,<\/li>\n\n\n\n<li class=\"translation-block\">Unplanned and ad hoc transfer of projects to the operational stage,<\/li>\n\n\n\n<li class=\"translation-block\">Poor project reporting, and<\/li>\n\n\n\n<li class=\"translation-block\">Lack of clarity about projects\u2019 status.<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">To fix poor results, the management implemented the PRINCE2 project methodology and delivered training sessions to the Library staff.&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\">Soon, the new PRINCE2 method implementation transformed the organization from the core and brought many positive outcomes, such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">Better project planning and implementation,<\/li>\n\n\n\n<li class=\"translation-block\">Better <a href=\"https:\/\/plaky.com\/blog\/resource-allocation\/\">resource allocation<\/a>,<\/li>\n\n\n\n<li class=\"translation-block\">A better understanding of <a href=\"https:\/\/plaky.com\/learn\/project-management\/project-roles\/\" target=\"_blank\" rel=\"noreferrer noopener\">project roles<\/a> and responsibilities,&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\">Improved cooperation and cross-team collaboration, and<\/li>\n\n\n\n<li class=\"translation-block\">Improved project reporting.<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">Many cultural changes came along with the PRINCE2 implementation, including the spread of awareness about:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">Breaking down the silos,<\/li>\n\n\n\n<li class=\"translation-block\">Building trust,&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\">Encouraging flexibility, and<\/li>\n\n\n\n<li class=\"translation-block\">Developing leadership skills.<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">As we can see, PRINCE2 can be effectively applied in various industries and projects.
