It evolves, progresses \u2014 and sometimes, you can\u2019t tell how it will develop.<\/p>\n\n\n\n<p>What that means is that you, as an organized and responsible project manager, may create a project plan, define scope, goals, and objectives \u2014 and <em>still<\/em> sit in a meeting and find more unexpected work that needs to be done.&nbsp;<\/p>\n\n\n\n<p>Why? Because small, day-to-day items of work cannot be planned too far in advance.&nbsp;<\/p>\n\n\n\n<p>These small pieces of work are called action items. They track previously unknown work that appears during project execution. Action items often include investigative work that may affect the project. They need one owner, a priority, and a completion date so that the project can proceed smoothly.\u201d<\/em><\/em><\/p>\n<\/div>\n<\/div>\n\n\n\n<div style=\"height:20px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>Action items often emerge as a result of a meeting. The 3W approach<\/h3>\n\n\n\n<p>The most commonly used approach is the so-called 3W method, where you create items by answering 3 questions starting with \u2018W\u2019 \u2014 what, who, and why.&nbsp;<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>What<\/strong> is the action that needs to be done?&nbsp;<\/li>\n\n\n\n<li><strong>Who<\/strong> is going to do the action item?&nbsp;<\/li>\n\n\n\n<li><strong>When<\/strong> is the due date by which the action item has to be finished?&nbsp;<\/li>\n<\/ol>\n\n\n\n<p class=\"has-text-align-left\">Let\u2019s see an example.<\/p>\n\n\n\n<div class=\"wp-block-group has-background\" style=\"background-color:#e5f6fe\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\">\n<p class=\"has-text-align-center\"><em>Contact Frank to confirm he\u2019ll give a speech at the company\u2019s annual celebration by the end of the shift on Friday.&nbsp;<\/em><\/p>\n\n\n\n<p class=\"has-text-align-center\"><em>Assigned to: Jane&nbsp;<\/em><\/p>\n<\/div><\/div>\n\n\n\n<p>You can tell this action item is clear enough, as it provides accurate answers:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What (contact Frank),&nbsp;<\/li>\n\n\n\n<li>Who (Jane), and&nbsp;<\/li>\n\n\n\n<li>When (by the end of the shift Friday).&nbsp;<\/li>\n<\/ul>\n\n\n\n<p class=\"custom-btn\"><a href=\"https:\/\/app.plaky.com\/signup\" target=\"_blank\" rel=\"noreferrer noopener\">Define your action items in Plaky<\/a><\/p>\n\n\n\n<h3 id=\"2-s-m-a-r-t-action-items\" class=\"wp-block-heading\">2. S.M.A.R.T. action items<\/h3>\n\n\n\n<p>Although the <a href=\"https:\/\/plaky.com\/blog\/smart-goals-project-management\/\" target=\"_blank\" rel=\"noreferrer noopener\">S.M.A.R.T. method<\/a> is commonly applied to goals and objectives, it can be useful for crafting action items as well.&nbsp;<\/p>\n\n\n\n<p>You can precisely define action items by fulfilling the S.M.A.R.T. criteria:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Specific<\/strong> \u2014 Is the action item specific enough that it cannot be further subdivided?<\/li>\n\n\n\n<li><strong>Measurable<\/strong> \u2014 Does the action item contain a quantifier to measure progress?<\/li>\n\n\n\n<li><strong>Assignable<\/strong> \u2014 Can the item be assigned to a team member?<\/li>\n\n\n\n<li><strong>Realistic<\/strong> \u2014 Is it plausible to finish the item in the given time and achieve the wanted results?<\/li>\n\n\n\n<li><strong>Time-bound<\/strong> \u2014 Does the item have a set due date?<\/li>\n<\/ul>\n\n\n\n<p>An example of an action item that checks all 5 criteria would be:<\/p>\n\n\n\n<div class=\"wp-block-group has-background\" style=\"background-color:#e5f6fe\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\">\n<p class=\"has-text-align-center\"><em>Contact 10 potential new customers by the end of the day.&nbsp;&nbsp;<\/em><\/p>\n\n\n\n<p class=\"has-text-align-center\"><em>Assignee: Hannah E.<\/em><\/p>\n<\/div><\/div>\n\n\n\n<p>All 5 criteria are fulfilled:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Specific (contact potential new customers),&nbsp;<\/li>\n\n\n\n<li>Measurable (10 customers),&nbsp;<\/li>\n\n\n\n<li>Assignable (assigned to Hannah),&nbsp;<\/li>\n\n\n\n<li>Realistic (it\u2019s reasonable to contact 10 people in one day), and&nbsp;<\/li>\n\n\n\n<li>Time-bound (should be finished by the end of the day).&nbsp;<\/li>\n<\/ul>\n\n\n\n<h3 id=\"3-getting-things-done-gtd\" class=\"wp-block-heading\">3. Getting Things Done (GTD)<\/h3>\n\n\n\n<p>Getting Things Done is a method used for <a href=\"https:\/\/plaky.com\/blog\/workload-management\/\" target=\"_blank\" rel=\"noreferrer noopener\">managing workload<\/a> that focuses on writing down all your tasks into an external source, such as a <a href=\"https:\/\/plaky.com\/task-management\" target=\"_blank\" rel=\"noreferrer noopener\">task management tool<\/a>, instead of keeping them in your head.&nbsp;<\/p>\n\n\n\n<p>Although it was not created for this purpose, the GTD method can be used as a step-by-step guide for creating project action items.<\/p>\n\n\n\n<p>It is divided into 5 stages:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Capture<\/strong> \u2014 Jot down all that needs to be done, i.e., all your ideas and plans. You can use a piece of paper or <a href=\"https:\/\/plaky.com\/project-management-software\" target=\"_blank\" rel=\"noreferrer noopener\">project management software<\/a>.&nbsp;<\/li>\n\n\n\n<li><strong>Clarify<\/strong> \u2014 Take what you wrote down in the first stage, and turn it into actionable items with all the necessary details.&nbsp;<\/li>\n\n\n\n<li><strong>Organize<\/strong> \u2014 Organize items into appropriate groups to make them easier to manage. For example, you can group them according to their priority levels.<\/li>\n\n\n\n<li><strong>Reflect<\/strong> \u2014 Since projects are dynamic, review your action item list regularly and reflect on it to see if any changes need to be made.
