The page\u2019s function depends on the blocks you choose.&nbsp;<\/p>\n\n\n\n<p>And that\u2019s about it \u2014 you have pages, and then pages in pages, and you can nest these pages in as many layers as you need. Which is great for creating a hyper-structured, personalized board, but for me, it just became a maze of pages <em>really<\/em> quickly.<\/p>\n\n\n\n<p>One of the blocks you can add to a page is the <em>database<\/em>. This database is basically like a board in Plaky, but because it\u2019s a block, your page can have more than just one board.<\/p>\n\n\n\n<p>Then, if you add a page to a database, it becomes a <em>task page<\/em>. Well, that\u2019s not the official name (it doesn\u2019t have one), but it\u2019s the only page type that can have properties \u2014 the equivalent of task fields. Basically, in order to add subtasks to a task page, you first need to add a database to it, and then create tasks inside of that nested database.<\/p>\n\n\n\n<p>It took a while to figure that one out, too \u2014 and it gets just as messy as it sounds. Especially later, when you\u2019re looking for database sources in your charts.<\/p>\n\n\n\n<p>The upside? Especially since every block takes up the entire width of the page. Normally, I don\u2019t fault tools for not having unnecessary features, but Notion could really use a resize option for its cards \u2014 this way, you\u2019re doomed to always create a <em>long<\/em> list of blocks.&nbsp;<\/p>\n\n\n\n<p>It also makes Notion extremely hard to set up, especially without external help. But, Plaky offers all of the ones that matter while still keeping the app easy to use and intuitive.<\/strong><\/p>\n\n\n\n<h3 id=\"plaky-offers-more-refined-collaboration-options\" class=\"wp-block-heading\">Plaky offers more refined collaboration options&nbsp;<\/h3>\n\n\n\n<p><strong>In Plaky, collaboration flows naturally with a variety of intuitive options.<\/strong><\/p>\n\n\n\n<p>First and foremost, your teams need a place to communicate and discuss important project topics. That\u2019s exactly what the <a href=\"https:\/\/plaky.com\/features\/comments\" target=\"_blank\" rel=\"noreferrer noopener\">comment section<\/a> of each task card is for \u2014 an organized spot to share ideas, questions, or updates on the task at hand.<\/p>\n\n\n\n<p>Whenever you leave a comment, <a href=\"https:\/\/plaky.com\/features\/notifications\" target=\"_blank\" rel=\"noreferrer noopener\">Plaky\u2019s notifications<\/a> make sure all who are subscribed to that task get a notification. Plus, if you want to notify someone who isn\u2019t subscribed, you can always simply @mention them. So, you make sure there\u2019s no downtime waiting for someone to notice an update.<\/p>\n\n\n\n<p>To keep communication even more organized, Plaky\u2019s comments include threads and replies. This way, team members don\u2019t need to scroll through one endless list of comments, but can see the specific topics, and then hop in the replies to find a solution.<\/p>\n\n\n\n<p>Another perk of Plaky\u2019s collaboration options is <a href=\"https:\/\/plaky.com\/features\/files\" target=\"_blank\" rel=\"noreferrer noopener\">file sharing<\/a>. You can upload or download all kinds of files \u2014 JPG, PNG, MP4, PDF, etc. And I love that this option is on a tab of its own, in every task. This also highlights the section that you commented on, which I find pretty convenient.<\/p>\n\n\n\n<p>The other is a <em>discussions<\/em> block where you can make general comments about the page. However, you can\u2019t find this block where you\u2019d normally add one. Instead, it\u2019s located under the \u201ccustomize page\u201d or \u201cpage layout\u201d settings (which label you get depends, I assume, on whether the page is part of a database or not).&nbsp;<\/p>\n\n\n\n<p>These comments also allow for sharing files or @mentioning team members, paired with notifications that make sure your team is up to date with communication.<\/p>\n\n\n\n<p>But, if Notion offers practically the same options, why did I find it so much more frustrating?<\/p>\n\n\n\n<p>First of all, the discussions block is always located at the top of a page. So, if there\u2019s more than 3 comments, I always have to scroll down to get to my actual board view, chart, or any other relevant document. This doesn\u2019t just waste time \u2014 it\u2019s plain annoying.<\/p>\n\n\n\n<p>On top of that, comments don\u2019t have replies or threads. This\u2019d be a problem on its own, but with the previous issue, that just means you\u2019ll have an even longer discussion thread to scroll through.<\/p>\n\n\n\n<p>My second issue is with file sharing \u2014 specifically, there\u2019s no dedicated \u201cfile sharing\u201d tab or folder. Which means, you either leave files as a comment, or just slap them on your page somewhere. Or, track the frequency of different reasons for a failed sales call with a custom \u201c<em>reason for decline&#8221; <\/em>tag field on your sales team\u2019s board.<\/p>\n\n\n\n<p>Another useful option I love in Plaky is the <a href=\"https:\/\/plaky.com\/features\/summary\" target=\"_blank\" rel=\"noreferrer noopener\">summary row<\/a> \u2014 a nifty gadget that sits at the bottom of each field on the Table view and gives you a quick insight into that field\u2019s overall data. If you have a <em>number <\/em>field for calculating costs, you can:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Figure out the total costs of different <a href=\"https:\/\/plaky.com\/learn\/project-management\/phases-project-management\/\" target=\"_blank\" rel=\"noreferrer noopener\">project phases<\/a>,&nbsp;<\/li>\n\n\n\n<li>See the average costs of certain tasks,&nbsp;<\/li>\n\n\n\n<li>Track how project costs change over time and avoid <a href=\"https:\/\/plaky.com\/blog\/cost-overrun\/\" target=\"_blank\" rel=\"noreferrer noopener\">cost overrun<\/a>, etc.<\/li>\n<\/ul>\n\n\n\n<p>However, like usual, I didn\u2019t find this customization intuitive \u2014 the UI in Notion\u2019s settings is cumbersome. However, Plaky\u2019s charts take little to no time to set up with settings that you won\u2019t struggle to learn.<\/strong><\/p>\n\n\n\n<p class=\"custom-btn\"><a href=\"https:\/\/app.plaky.com\/signup\" target=\"_blank\" rel=\"noreferrer noopener\">Get project results easily in Plaky<\/a><\/p>\n\n\n\n<h3 id=\"both-apps-have-similar-automation-options-but-notion-also-offers-ai-tools\" class=\"wp-block-heading\">Both apps have similar automation options, but Notion also offers AI tools<\/h3>\n\n\n\n<p><a href=\"https:\/\/plaky.com\/features\/automations\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>Plaky\u2019s automations<\/strong><\/a><strong> offer simple ways to get rid of manual tasks on your project board and optimize your workflow.<\/strong><\/p>\n\n\n\n<p>The automation tab in Plaky is one of the most intuitive automation tools I\u2019ve come across. Before you click on any option, it\u2019s immediately clear what that change will achieve. After all, automations should save time \u2014 so it makes sense that setting up one shouldn\u2019t waste time either.<\/p>\n\n\n\n<p>These automations work as an \u201cIF-THEN\u201d function. In essence, this means \u201cIF a trigger happens, THEN do this action\u201d, e.g., \u201cIF status is set to <em>review<\/em>, THEN add <em>QA team<\/em> to the <em>reviewer<\/em> field\u201d.<\/p>\n\n\n\n<p>I especially like that you can add multiple triggers and actions to 1 automation.&nbsp;<\/p>\n\n\n\n<p>For example, say you want high priority tasks to be reviewed by a more experienced QA team member. In that case, the example we gave earlier doesn\u2019t fit \u2014 you\u2019d just add them to <em>all<\/em> tasks set to review. So instead, you can set the following automation: \u201cIF status is set to <em>review<\/em> AND priority is <em>high<\/em>, THEN add [<em>Senior QA engineer]<\/em> to the <em>reviewer <\/em>field\u201d.<\/p>\n\n\n\n<p>Plus, if you also want to make sure the team member is notified \u2014 you can add another action that does exactly that. For example, you can set an automation that sends an email to your client updating them when a task is set to <em>complete<\/em>.<\/p>\n\n\n\n<p>Notion also includes buttons, which are a special type of automation that\u2019s set up as one of your page blocks \u2014 and&nbsp;their trigger is always just clicking the button.<\/p>\n\n\n\n<p>I find this particularly useful for actions that don\u2019t have specific triggers, but they\u2019re still a pain to do. It\u2019s the version that you add as a block to your page and the bubble that sits at the bottom-right corner, so you could ask general questions instead of sifting through the page yourself.<\/p>\n\n\n\n<p>A limited version of this AI is available in the free plan \u2014 though my experiences with it are 50-50. The quality of answer you get really depends on your prompt, and the AI has surprisingly little understanding of the app\u2019s functionality. It took me a dozen tries to get it to properly explain how to add a comment to a page.<\/p>\n\n\n\n<p>The AI agent, on the other hand, promises full, in-depth understanding of <em>all<\/em> of your pages, your workflow, and every element in your workspace.
