Still, 10 users might be enough if you\u2019re running a small team \u2014 and that\u2019s exactly where Trello shines, as we\u2019ll see in the rest of this comparison.&nbsp;<\/p>\n\n\n\n<p>But here\u2019s the real kicker: you only get the Kanban view in the free plan. I like that other users are able to share the templates they made, so you get a wide variety of choices.<\/p>\n\n\n\n<p>Once you make a board in Trello, you\u2019re met with a pleasant and customizable Kanban view. Navigation is mostly clear and intuitive. There are just a couple of buttons \u2014 like the <em>Create card from template<\/em> button \u2014 that have unclear icons, so I just kept forgetting what they were for.<\/p>\n\n\n\n<p>The planner and inbox features are nicely done and can easily be toggled on and off. This way, you can choose what you need to focus on.<\/p>\n\n\n\n<p>Toggling between views, however, frustrated me \u2014 you need to go through a dropdown menu and then select another view. But, 3 clicks in, and I was already dizzy. It\u2019s just that \u2014 ClickUp has <em>so much<\/em> to wrap your head around.&nbsp;<\/p>\n\n\n\n<p>When you click on anything in ClickUp, there are 15 more options to choose from, plus overviews at every corner. This really doesn\u2019t make for an unintuitive interface, just an&nbsp; overcrowded one.&nbsp;<\/p>\n\n\n\n<p>Finding options I\u2019ve already found before takes just as much time. Safe to say, setting up a board in ClickUp took quite a bit of effort. It\u2019s a good thing, then, that it offers 1,500+ ready-made templates \u2014 for folders, lists, whiteboards, docs, etc.&nbsp;<\/p>\n\n\n\n<p>That said, once you do set up your board, navigating through the list of options is actually intuitive. But again, you\u2019re hit with a million options wherever you accidentally glance.<\/p>\n\n\n\n<p>And lastly, I have to say that the UI is just monotone to me. The platform gives you a set of fields to add to cards, such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Members,<\/li>\n\n\n\n<li>Labels,&nbsp;<\/li>\n\n\n\n<li>Dates,<\/li>\n\n\n\n<li>Description,<\/li>\n\n\n\n<li>Attachment,&nbsp;<\/li>\n\n\n\n<li>Location,<\/li>\n\n\n\n<li>Checklist, and<\/li>\n\n\n\n<li>Custom fields.<\/li>\n<\/ul>\n\n\n\n<p>I like that you can toggle custom fields to appear on the front of a card in the Kanban view, but I\u2019m annoyed that you can\u2019t do that with any other field type.<\/p>\n\n\n\n<p>Custom fields didn\u2019t really impress me either. You only have 5 options to customize:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Checkbox \u2014 add a responsibility (just its title) your team can check off as complete,&nbsp;<\/li>\n\n\n\n<li>Date \u2014 add a date to your card,&nbsp;<\/li>\n\n\n\n<li>Number \u2014 add a number (but you can\u2019t have currency marks next to it),<\/li>\n\n\n\n<li>Dropdown \u2014 add a selectable dropdown list, and<\/li>\n\n\n\n<li>Text \u2014 add a text field.<\/li>\n<\/ul>\n\n\n\n<p>The most useful field here is a dropdown field, which you can use to set status, priority, risk, etc. Sadly, there\u2019s no custom tag field \u2014 you can only rely on the singular label field.<\/p>\n\n\n\n<p>Another gripe I had with Trello is the <em>Checklist<\/em> field, which is where you create subtasks. There are over 30 types of custom fields; some of the ones I thought were most useful include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Label \u2014 add tags to your tasks,<\/li>\n\n\n\n<li>Formula \u2014 add a simple formula to calculate data across multiple fields,<\/li>\n\n\n\n<li>Relationship \u2014 add connections between tasks, even across multiple boards,<\/li>\n\n\n\n<li>Progress (Auto) \u2014 add automatic progress calculation through subtasks, assigned comments, and checklists, and<\/li>\n\n\n\n<li>Voting \u2014 add a poll so that your team can provide input on a subject.<\/li>\n<\/ul>\n\n\n\n<p>However, there are some redundant fields. The relationship and tasks fields, for example, work similarly, and would be more useful if they were combined into one.<\/p>\n\n\n\n<p>The AI-suggested fields also clutter the field type list \u2014 for some reason, in my <em>Bug Tracking <\/em>test board, it kept suggesting a <em>T-shirt size<\/em> field.&nbsp;<\/p>\n\n\n\n<p>Subtasks, on the other hand, are easy to create, collapse, and have the same functionalities as normal tasks. Unlike Trello, subtasks in ClickUp can have the same fields as any other task on the board.<\/p>\n\n\n\n<p>There are also <em>so <\/em>many options to manage your tasks. However, with so many more options to handle tasks than Trello, ClickUp is a better option for <\/strong><a href=\"https:\/\/plaky.com\/blog\/what-is-task-management\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>task management<\/strong><\/a><strong>.<\/strong><\/p>\n\n\n\n<p class=\"custom-btn\"><a href=\"https:\/\/app.plaky.com\/signup\" target=\"_blank\" rel=\"noreferrer noopener\">Manage custom fields easily with Plaky<\/a><\/p>\n\n\n\n<h3 id=\"trello-offers-a-better-kanban-view-but-clickup-has-more-views-overall\" class=\"wp-block-heading\">Trello offers a better Kanban view, but ClickUp has more views overall<\/h3>\n\n\n\n<p><strong>Trello is known for its <\/strong><a href=\"https:\/\/plaky.com\/learn\/project-management\/kanban-project-management\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>Kanban<\/strong><\/a><strong> view \u2014 so it\u2019s no surprise that this is its best feature.<\/strong><\/p>\n\n\n\n<p>Trello\u2019s Kanban is clear, organized, and intuitive. Drag-and-drop mechanics make task management simple. I like that you can connect it to your personal calendar and organize your schedule more accurately.<\/li>\n\n\n\n<li><strong>The Table view<\/strong> is disappointing. There\u2019s no clear visual distinction between tasks \u2014 it\u2019s all just one big monotone list.<\/li>\n\n\n\n<li><strong>The Dashboard view <\/strong>is functional and has a nice visual overview. However, it\u2019s pretty limited (more on this in the reporting section).<\/li>\n\n\n\n<li><strong>The Timeline view<\/strong> gave me the worst UX of all. I expected more options for task handling, e.g., color-coding. But, you have to guess where your task is going to end up when hovering over the weekend since their colors are the same (as seen in the photo below).<\/li>\n\n\n\n<li><strong>The Map view<\/strong> is a fun addition I rarely see in PM tools that lets you add a <em>Location<\/em> field to your tasks and organize them by their map placement. The idea is to simply switch views instead of switching tabs. I still can\u2019t decide whether this is neat or redundant.<\/p>\n\n\n\n<p>I especially like ClickUp\u2019s Gantt view. It has plenty of options to manage how you navigate the <a href=\"https:\/\/plaky.com\/learn\/project-management\/project-timeline\/\" target=\"_blank\" rel=\"noreferrer noopener\">timeline<\/a>, as well as change how tasks are colored for better overviews.<\/p>\n\n\n\n<p>I also like the addition of:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Whiteboard<\/strong><strong><em> <\/em><\/strong><strong>view<\/strong> \u2014 It\u2019s a neat place where teams can collaborate and brainstorm together without having to rely on a third-party app.<\/li>\n\n\n\n<li><strong>Forms view<\/strong> \u2014 It\u2019s a view where you can create forms and send them out to <a href=\"https:\/\/plaky.com\/learn\/project-management\/stakeholder-in-project-management\/\" target=\"_blank\" rel=\"noreferrer noopener\">stakeholders<\/a>. This is not only fun and hilarious, but also helps me figure out what I\u2019m looking at with a simple glance at the board.&nbsp;<\/p>\n\n\n\n<p>I like the addition of stickers for the same reason. You can also create your own stickers, which I\u2019m sure will bring the team together with great inside jokes.<\/p>\n\n\n\n<p>However, other than these, the customization options in Trello are pretty scarce.&nbsp;<\/p>\n\n\n\n<p>Like I mentioned, custom field options are limited. I could barely customize any view other than Kanban \u2014 even the simplest coloring options would be welcome.&nbsp;<\/p>\n\n\n\n<p>The filtering isn\u2019t impressive, either. For example, you can\u2019t filter by custom fields. You can:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Change and adjust which fields or tasks are visible,<\/li>\n\n\n\n<li>Change the page and card layouts, and<\/li>\n\n\n\n<li>Group tasks however you like.<\/li>\n<\/ul>\n\n\n\n<p>You can also filter views based on any task field and combine these filters to get the exact results you need.<\/p>\n\n\n\n<p>Truth be told, the amount of customization options ClickUp gives you seems impressive.&nbsp;<\/p>\n\n\n\n<p>But, the list of customization options was simply that \u2014 a <em>long <\/em>list. This makes going through either feature twice as difficult \u2014 I couldn\u2019t get a good overview of one without the other getting in the way.<\/p>\n\n\n\n<p>There\u2019s also a separate discussion board view, where you can have general, project-focused (instead of task-focused) conversations with your team.<\/p>\n\n\n\n<p>The chat options here are also extensive. The <em>Trigger <\/em>and <em>Action<\/em> options are fairly extensive \u2014 for a moment, I thought they might rival ClickUp\u2019s.<\/p>\n\n\n\n<p>The triggers even include comment triggers, e.g., if someone comments a specific word or phrase, something happens. You can only delete and re-make them, so be careful of misclicks.<\/li>\n<\/ul>\n\n\n\n<p>On the other hand, buttons are a nice addition. There are many more trigger options than in Trello, but honestly, that\u2019s to be expected.&nbsp;<\/p>\n\n\n\n<p>I like how clear and easy-to-navigate the option lists are, even though they\u2019re pretty long. You can also add multiple triggers, even from integrated apps like Google Calendar.<\/p>\n\n\n\n<p>In ClickUp, you don\u2019t have as many comment triggers as in Trello \u2014 you can\u2019t create standard automations based on comment content.<\/p>\n\n\n\n<p>But ClickUp makes up for this with AI agent triggers and actions, which give you even more options, e.g., \u201c<em>only trigger if the comment is an HR question<\/em>\u201d. However, I\u2019m disappointed that you can\u2019t add additional triggers to buttons to protect yourself from accidental clicks.<\/p>\n\n\n\n<p>There\u2019s also the addition of AI agents, which are still in beta. For starters, I wish I could track tasks by their custom fields (e.g., priority). There\u2019s also no option to change the graph colors, so clear visual distinction is lacking.<\/p>\n\n\n\n<p>There\u2019s no time tracking either in Trello, which means you can\u2019t get reports on your team\u2019s productivity or improve forward planning.<\/p>\n\n\n\n<p>It seems to me like Trello relies a lot on its integrations for actual reporting \u2014 there are some pretty nifty ones in there, like Screenful. Then, you can simply adjust your dashboard by resizing or moving the cards around.<\/p>\n\n\n\n<p>I like that there\u2019s an option to add an AI executive summary as a card \u2014 if there\u2019s one thing AI is good at, it\u2019s TLDRs.<\/p>\n\n\n\n<p>There are many different card options, from overdue tasks to notes and portfolios. Honestly, there are a touch too many. But, you can get over 1,000 using Zapier.<\/p>\n\n\n\n<p>Still, with the effort to have all features you\u2019d integrate for anyway \u2014 you\u2019ll just end up with ClickUp\u2019s half-functional and the integrated fully functional option.
